There are a lot of methods that we can adopt to access and share business data via the internet and its secure too

1. Tally on the cloud:

This is a fully clouded service for tally users for multiple locations. Tally is installed on the cloud server and users can access tally and make transaction entries and the owner can access the same data with his user id and password.

Requirements: Tally silver license or Tally multi-user license. Only one cloud user can be configured for Tally silver license and multiple user license requires Tally gold edition license. Good speed internet in all client systems.

Backup and Security: Data is 100% safe and no virus as the data is encrypted and shared over the internet. The local backup option can also be configured.

Printing: Client users can use local printers for billing and statements printing

Cost: Subscription method Rs. 850 per user per month and its paid for one year. One time setup charges per user Rs. 450/-

This is recommended for Tally users which has more than 2 Locations when cost reliability is considered.

2. VPS (Virtual Private Server-Windows)

This is a full cloud server hosted with hosting service providers and a fully licensed operating system can be accessed via the internet. The user can install Tally, marg, or any other apps they need and can run remotely.

Requirements: VPS windows subscription from a trusted service provider such as Digital Ocean, Hostgator, etc, RDP is used for sharing with other users online. And the licensed application software.

Backup and Security: Data is 100% safe and no virus as the data is encrypted and shared over the internet. Local backup as normal local computer backup

Printing: cloud printing method is used for printing

Cost: Subscription method Rs. 3500 per user per month and its paid for one year. One time setup charges per user Rs. 2500/-

This is recommended for users who need to share and keep other documents on the cloud.

3.RDP Server:

RDP server either can be configured with the VPS server or it can be set up as a local server in your office computer. Software can be shared across users over the internet via RDP access

Requirements: VPS with RDP configured or, Local Server Desktop with at least core i3 processor, 4 GB RAM, 120SSD, Windows 10 (latest version) with a license. And application software with a license. Static IP address subscription from the internet service provider.

Backup and Security: Local Desktop must have a sufficient backup system to assure data safety.

Printing: cloud printing or local printers can be configured

Cost: Windows Genuine license server or windows 10. RDP set up Rs. 4500. Good speed desktop server approximately Rs. 35000/-, Static IP purchase Rs. 1500 Per year.

4.VPN Server

VPN-virtual private network, a remote user is connected to a local VPN server and becomes the part of the local area network and can access the software shared by the server.

Requirements: VPN configured Local Server Desktop with at least core i3 processor, 4 GB RAM, 120SSD, Windows 10 (latest version) with a license. And application software with a license. Static IP address subscription from the internet service provider.

Backup and Security: Local Desktop must have a sufficient backup system to assure data safety.

Printing: cloud printing or local printers can be configured

Cost: Windows Genuine license server or windows 10. VPN setup charges Rs. 4500. Good speed desktop server approximately Rs. 35000/-, Static IP purchase Rs. 1500 Per year.
